INFORMATION TEXT ON THE PROTECTION OF PERSONAL DATA FOR PARTICIPANTS OF THE GOLDWING MOTORCYCLE SPORTS CLUB ASSOCIATION / GOLDWING CLUB TURKEY EVENTS

Altın Kanat Motosiklet Spor Kulübü Derneği / Goldwing Club Türkiye ("Association") respects the personal data we process and the related individuals while continuing our activities, and attaches maximum importance to the protection and security of personal data within the framework of Law No. 6698 on the Protection of Personal Data ("KVKK") and relevant other legislation. Accordingly, as the Association, we value the protection, security, and privacy of all personal data of the individuals we process.

Within the scope of your participation in the events and organizations of our Association, some of your personal data is collected and processed by our Association. Personal data is any kind of information about individuals that identifies or can identify the person, such as the individual's name, surname, date of birth, phone number, e-mail address, motorcycle license plate information, and photo images.

The KVKK and relevant other legislation define certain procedures that data subjects must comply with regarding the processing of personal data. In accordance with the KVKK and relevant other legislation, as the data controller, our Association is obliged to inform you about the processing of your personal data and, in some cases, to obtain your explicit consent.

In this context, this information text has been prepared to inform you about the personal data shared within the scope of the Association's organizations and events, the purposes of processing your personal data, the legal grounds for collection and processing, the method of collecting your personal data, to whom your personal data will be transferred for what purposes, and your rights under the KVKK.

1. Personal Data Processed by Our Association Within the Scope of Events: a. Personal Data of General Nature: i. Identity Information: Your name, surname, date of birth, gender, name and surname of your relatives for emergency notification purposes. ii. Contact Information: Your phone number, e-mail address, address information, phone number of your relatives for emergency notification purposes. iii. Visual and Auditory Records: Photo and video recordings in which you are present and shared on our Association's Instagram, Facebook, and / or LinkedIn accounts, and our website with your explicit consent. iv. Other Personal Data of General Nature: Motorcycle license plate information. b. Special Categories of Personal Data: i. Association Membership Information: Whether you are a member of our association, if so, your membership number; if not, information about which motorcycle club you are a member of.

2. Purposes of Processing Your Personal Data and Legal Grounds for Collection and Processing of Your Personal Data: Your general and special categories of personal data mentioned above are processed by our Association, limited to the purposes listed below and within the scope of legal grounds regulated in Articles 5 and 6 of the KVKK and relevant other legislation. a. Purposes of Processing Your Personal Data: i. Organization of motorcycle festivals, events, and activities that you have registered for (Processed personal data categories / personal data: identity, contact, motorcycle license plate information, association membership information), ii. Registration of participants and collection of necessary personal data for registration (Processed personal data categories / personal data: identity, contact, motorcycle license plate information, association membership information), iii. Organization of travel arrangements for events, such as accommodation reservations, cultural tours, rides, entertainment, and birthday celebrations that you will participate in (Processed personal data categories / personal data: identity, contact), iv. Presentation of plaques during events and determination of the oldest and latest participants, preparation of plaques according to the clubs from which participation is provided (Processed personal data categories / personal data: identity, club name for plaques), v. Taking and sharing photo and video recordings during events and activities on our Association's social media accounts and website (Processed personal data categories / personal data: identity, visual and auditory recordings / photo and video recordings in which you are present), vi. Taking necessary precautions in case of emergencies and informing your relatives (Processed personal data categories / personal data: identity, contact), vii. Communication with you via phone, messages, and e-mails regarding the above-mentioned processes, if necessary (Processed personal data categories / personal data: identity, contact).

b. Legal Grounds for Collection and Processing of Your Personal Data: The legal grounds for collecting and processing your membership information are based on your explicit consent, in accordance with Article 6 (2) of the KVKK. If you do not give your explicit consent, these special categories of personal data will not be processed.

Your photo and video recordings, in which you are present as a participant, will be processed based on the legal ground of "explicit consent" pursuant to Article 5 (1) of the KVKK and will be shared in accordance with the information provided in this information text.

The legal ground for the collection and processing of your other general categories of personal data mentioned above is that it is "mandatory for the data controller to process data for the legitimate interests of the data controller, provided that it does not harm the fundamental rights and freedoms of the data subject," as regulated in Article 5 (2) (f) of the KVKK.

3. Method of Collecting Your Personal Data: The personal data specified above is collected through automatic means or non-automatic means as part of the data recording system, personally by you by filling out the event registration form prepared for the Association's event on our website, manually filling out the form and delivering it to us, face-to-face meetings with you, or via phone, electronic means, written or verbal communication through camera shots.

4. Purpose of Transfer of Your Personal Data and to Whom / Where Your Personal Data is Transferred in Turkey: The personal data collected will be transferred to the following service providers / suppliers, in accordance with the conditions specified in Article 8 of the KVKK, with the necessary security measures taken due to the services received within the country: • To obtain necessary information technology, informatics (server / hosting), and website design services in our Association, when you fill out the event registration form on our website and submit it to us, the personal data you provided in the registration form and photo and video recordings shared on our website via explicit consent (in which you are present as a participant) will be transferred to the information technology, informatics (server / hosting), and website design service provider / supplier we receive these services from (Processed / transferred data categories / personal data: identity, contact, motorcycle license plate information, visual and auditory recordings / photo and video recordings in which you are present as a participant, association membership information). • Your personal data may be shared with travel agencies, organization / consultancy companies, hotels where you will stay, etc., with whom we receive services regarding necessary travel arrangements, such as accommodation reservations, cultural tours, rides, and entertainment, within the scope of your participation in our events (Processed / transferred data categories / personal data: identity, contact). • Also, photo images and video recordings of events and organizations where you participated will be processed by the service provider / supplier that we receive services from for the realization of the photo and video recordings for the events and organizations of our Association (Processed / transferred data categories / personal data: visual and auditory recordings / photo and video recordings in which you are present as a participant).

5. Sharing and Transfer of Your Visual and Auditory Records on Our Website and Social Media Accounts and Abroad: With your explicit consent, for the purposes of conducting organization and event management, promotion, and communication activities, the photo images and video recordings of the events and organizations of our Association in which you participated, which are taken and shared, will be: • Published on our Association's website and therefore will necessarily be transferred to the information technology, informatics (server / hosting), and website design service provider / supplier we receive services from within the country. • Also shared on social media platforms such as our Association's Instagram, Facebook, and / or LinkedIn accounts, and therefore will be transferred to the relevant social media platforms, located abroad, and stored in data centers / cloud bases abroad.

6. Your Rights Under the KVKK: Article 11 of the KVKK regulates the rights of data subjects.
